General terms and conditions

• According to the Personnel Handbook for State Employees, all travel shall be undertaken in a manner which, according to an overall assessment, is fastest and cheapest for the state. In case of doubt, the employer and employee shall consider which transport mode will be the quickest and most affordable.
• All travel and hotel accommodations must be booked through Berg-Hansen.

Conferences with papers

• Travel, accommodation, subsistence, and conference fees will be covered when you attend meetings or conferences at which you present your research or that of your research group or the Department.
• The Special Agreement covering the cost of travel and board and lodging outside Norway applies to such trips. In its comments on these provisions, the Ministry states that: "Travel undertaken by employees in order to present their own research results or those of their research group/department is classified as official travel."
• Subsistence allowance is granted for official journeys, provided you have requested approval from someone with budget allocation authority (BDM) for the conference trip before you travel. 
• All meals included in your hotel accommodation and your conference fees shall be deducted from the subsistence allowance, irrespective of whether or not you take advantage of such.
• Conference dinners are included in the subsistence allowance. You cannot be refunded for these, even if you pay for them in addition to the conference fee.
• Membership fees cannot be reimbursed, even if this entails discounted conference fees.

Other research travel

• Funding may be granted to cover all or some of the travel and accommodation costs incurred on research trips.
• Archive trips relating to collecting research data, fieldwork, travel in connection with meetings, or similar do not automatically trigger subsistence allowance. See the Norwegian Government's Special Agreement on the coverage of travel expenses and costs outside Norway. 
• If you want your journey to be approved as "official travel," you can request approval (BDM) in your funding application.
• Travel to an alternative, self-chosen place of work cannot be funded.
