The purpose of the doctoral thesis is to gain knowledge about how supervision can contribute to environmental therapeutic work with children and young people in child welfare institutions. The study will focus on how supervision is adapted to the problem or topic being addressed. Data will be collected through video recordings of supervision sessions, interviews, log notes and feedback from participants via video playbacks and more. The study will contribute to practice-oriented knowledge that will be useful in the workplace and possible relevance in other places and in the field of supervision in general.

Would you like to participate in a research project on supervision?

This is a question for you about participating in a research project where the purpose is to gain knowledge about supervision and how supervision can contribute to quality in institutional child welfare. In this letter, we provide you with information about the goals of the project and what participation will entail for you.

Purpose

The purpose of this doctoral project is to contribute to increased quality in supervision in institutional child welfare with a view to both the supervisors’ and the supervisee’ competence development, quality of work and safeguarding as a professional practitioner. The project will study in more detail how different approaches to supervision can contribute to the benefit of the work of the person receiving supervision. A study of supervision is planned, mainly with environmental personnel working in institutions, where relevant issues related to the work are addressed - whether these challenges are about the supervisees themselves or about the work they do with the children/youth. Interventions in the form of training modules and methodological input will be provided along the way, to the supervisor and to those receiving supervision.

Who is responsible for the research project?

The University of Oslo (UiO) is the institution responsible for the research, and UiO and Bufetat Region East share responsibility for processing the personal data handled in the project. The project manager is Jan Sjøberg (Bufetat/UiO) under the supervision of Erik Stänicke (UiO) and Hanne Strømme (UiO), and Cato Bjørndal from the University of Tromsø.

Why are you being asked to participate?

The project involves studying supervision in institutional child welfare services. We therefore need supervisors and staff working in institutions to participate in the project.

What does participation involve for you?

Participation in the project mainly involves taking part in supervision sessions that normally take place in your job, with the difference that the research project itself involves some additional tasks in the form of participating in interviews, answering questionnaires, writing logs/reflection notes and participating in video playbacks with reflections on supervision sessions that have taken place. Participation may also involve participating in some supervision sessions outside of the usual ones, but preferably within normal working hours. Some of the supervision sessions may include training components and exercises. The supervision sessions studied may be both individual and group supervision, and they will be recorded on video and audio. The supervisor/person responsible for recording will receive training in the use of recording equipment. All data collection and video/audio recordings will be processed and stored securely, and all data will be anonymised before publication. This means that you will not be recognisable in any publications. Any exceptions to this will require a separate written consent form from you.

Participation is voluntary

Participation in the project is voluntary. Supervision is part of your job, and there will be no negative consequences for you if you do not wish to participate in the research project. If you choose to participate, you can withdraw at any time without giving a reason. There will be no negative consequences for you if you later choose to withdraw.

Your privacy – how we store and use your information

We will only use your information for the purposes described in this document. We treat the information confidentially and in accordance with privacy regulations. The only people who may be given access to the information through me are those who need it for research purposes, and they will only be given access to the information necessary to contribute to the research. Those who are given access, including myself as a researcher, are bound by a duty of confidentiality regarding sensitive personal information obtained through the research. All information will be handled securely and in accordance with UiO's procedures for research data.

Those of you who participate in the research project, and this also applies to other employees, have a duty of confidentiality regarding the children towards me when I am in my role as a researcher – even in cases where I, in my role as an employee of Bufetat, may receive such confidential information. Further information will be provided on how this will be handled, e.g. by describing the children in a way that prevents them from being identified by outsiders.

What happens to your personal data when the research project is completed?

The doctoral project is scheduled to be completed when the doctoral thesis is approved, which is stipulated for spring 2029. The data material will then be anonymised, with the exception of video and audio recordings, which may be reused in further research – until the end of 2038 at the latest. Further research will be conducted with me as the research manager, with the same objectives and framework as mentioned in this information letter, including security requirements. This means, among other things, that the section above on privacy and personal data also includes any use of the data material after the project period has ended and up to and including 2038. All data collected will be deleted by 2038 at the latest.

What gives us the right to process your personal data?

We process information about you because the research project is considered to be in the public interest. You may object to the processing of your personal data. As long as you can be identified in the data material, you have the right to object, request access, and request correction and deletion of personal data we process about you. You will then hear from us within one month. We will give you a good reason if we believe that you cannot be identified or that your rights cannot be exercised. You also have the right to complain to the Data Protection Authority about how we process your information. Otherwise, the following reservations apply: access cannot be granted to other people's comments about you from, for example, the individual research interviews, and conversely, other participants cannot be granted access to your comments about them.

On behalf of the University of Oslo, SIKT – the knowledge sector's service provider – has assessed that the processing of personal data in this project complies with the privacy regulations.

As long as you can be identified in the data material, you have the right to:

• request access to the information we process about you

• request correction of information about you that you believe is incorrect or misleading

• request deletion of personal data about you

• send a complaint to the Data Protection Authority about the processing of your personal data
